Log in to access the UBCMS website authoring platform.

Login to the UBCMS

A UBITName and password are required to access the UBCMS. Admin accounts work as well as personal accounts, but they must be set in Active Directory (AD) and not other systems like ITORG.

But before you actually see any content, you will need to have a specific role in the UBCMS. Your Unit Web Leader must request access on your behalf, and specify what levels of permissions you will need (e.g. Author, Publisher) and on which website(s) you will be working.

When you log in, we recommend you start at the Web Management  homepage -- https://ubcms.buffalo.edu -- where you will also find project announcements, timely alerts, training opportunities and supporting documentation.

The UBCMS Start Page

The first page displayed when you first log in (aka the 'start page') has primary links to Sites and Assets in the page center. Other tools are accessible through the top left and top right of the screen. Some may require special permissions or advanced knowledge of the UBCMS.

Activity Areas

1. Adobe Experience Manager link

2. 'action icons' toolbar

  • Search - This powerful tool queries across the entire Author environment, including Pages and Assets.
    • The search indexes all text fields, Name and Title, and also the reference paths for included assets and links.
    • It can be a bit broad in scope unless you really wish to search the entire system (although you can later filter it down further). 
    • Instead we recommend navigating to your preferred focus in the Sites Console and then using the Filter tool in the Side Panel (keyboard shortcut alt+4).
  • Help - Click to display the following:
  • Inbox (bell icon) - Click to display any notifications; e.g. for Workflow.
    • A number will overlay the bell icon to indicate any new messages.
  • User - Click to display the following details. (Only admins can use some of these tools.)
    • My Preferences - Click to display the following:
      • Window Management - Choose between Multiple Windows or Single Window to control whether the UBCMS opens a page for editing into a new tab or the current tab.
    • Profile
      • Regular users will see a callout: 'This user is managed by an external entity. Some of the profile values may be reset during the next synchronization.' This means the UBCMS pulls user profiles from LDAP and not locally from this platform.
      • Details:
        • Photo -- You can upload a profile image which will be displayed in the profile icon at upper right of some screens.
        • Password. Do not attempt to change--will be reset at the next log in.
        • Account status - For most users, will be active. Do not attempt to change.
        • Email -- View your registered address in LDAP. Do not change--will be reset at the next log in.
        • Name, gender, phone (not used by any UBCMS tools).  
      • Groups:
        • View your current permissions groups.
        • Regular users cannot make changes here.
        • User admins can add new groups to their own profile.
      • Keystore:
        • Not used, please ignore.
    • Impersonate as (admins only)

3. Tools

  • Navigation - turns the Tools dropdown off and returns to the default view
  • Tools (hammer icon) - click to expose
    • General
      • CRXDE Lite (for developers only)
      • Tagging (for tag admins only)
    • Workflow
    • Security
      • Users (for user admins only)
      • Groups (for group admins only)
    • UB Custom Tools

4. Navigation (center page)

Located in the center of the window.

  • Recently used pages - direct links to the last fifteen modified pages
  • Recently used assets - direct links to the last fifteen modified assets
  • Sites - click the link to the Sites console.
  • Assets - click the link to the Assets console.
