Login to the UBCMS

A standard UBITName and password are required to access the UBCMS. Admin accounts work as well as personal accounts, but they must be Active Directory (AD) and not other systems like ITORG. But before you can actually see any content, you will need to have a specific role in the UBCMS itself. Your Unit Web Leader will need to request access on your behalf, and specify what levels of access you will need and which websites you will be working on.

We recommend you start at the Web Management site homepage -- https://ubcms.buffalo.edu -- where you will also find project announcements, timely alerts, training opportunities and supporting documentation.

Getting from Classic to Flex UI

If you are logging into the Classic version, you will land on the Welcome page. To get to Flex UI, look for the link to 'Switch to UBCMS Flex UI' in the right sidebar which will load Flex UI's Start page. (There is a corresponding link there to get back to 'Classic UI.')

The Flex UI Start Page

The Start page has primary links to Sites and Assets in the page center, as well as a link back to Classic UI. Other tools are accessible through the top left and top right of the screen. Some may require special permissions or advanced knowledge of the UBCMS.

Activity Areas

1. Adobe Experience Manager link

Located in the top left of the window.

2. 'action icons' toolbar

  • Search - This powerful tool queries UBCMS Assets, Pages and Users.
    • The search is context sensitive. We recommend starting while in Sites or Assets, then filtering it by the path to your site-specific own content.
    • The search indexes all text fields, Name and Title, and also the reference paths for included assets and links.
  • Help - Click to display the following:
    • About Adobe Experience Manager
    • Keyboard Shortcuts - Click to reveal available shortcuts and a setting to enable/disable their use.
  • Inbox (bell icon) - Click to display any notifications; e.g. for Workflow.
    • A number will overlay the bell icon to indicate any new messages.
  • User - Click to display the following details. (Only admins can use some of these tools.)
    • My Preferences - Click to display the following:
      • Use Classic Authoring Experience - When checked, pages will open for editing in the Classic version. (This setting can only be adjusted from Flex UI.)
        • That setting is also changed automatically when you use the 'Classic UI' button on the Start page and the 'Use Flex UI' link on the Classic Welcome page. The setting is saved on the server for your account across all browsers and devices (i.e. not just a cookie).
      • Window Management - Choose between Multiple Windows or Single Window to control whether the UBCMS opens a page for editing into a new tab or the current tab.
    • Profile (admins can make some changes here)
      • Regular users will see a callout: This user is managed by an external entity. Some of the profile values may be reset during the next synchronization.
      • View your system email (your buffalo.edu account from LDAP). Do not change--will be reset the next day you log in.
      • View your permissions groups. (User admins can add new groups to their own profile, but regular users cannot make changes.)
    • Impersonate as (admins only)

The 'Use Classic Authoring Experience' setting in User Preferences defines in which version pages will load. When selected, pages will always load in the Classic version. When deselected, pages will load in the new Flex UI version.

3. Tools

  • Navigation - turns the Tools dropdown off and returns to the default view
  • Tools (hammer icon) - click to expose
    • General
      • CRXDE Lite (for developers only)
      • Tagging (for tag admins only)
    • Workflow
    • Security
      • Users (for user admins only)
      • Groups (for group admins only)
    • UB Custom Tools

4. Center Screen

Located in the center of the window.

  • Sites - click the link to the Sites console.
  • Assets: click the link to the Assets console.
  • Classic UI - click to switch back to UBCMS's Classic version
